    Conducting a Street Tree Inventory

Photo by David Swaciak.The challenge to efficiently conducting a tree inventory is being able to quickly and accurately enter data, then convert it to digital form to use in a database. We utilized USDA Forest Service software to create a multi-user Palm Pilot tree-inventorying program that would output to a simple spreadsheet such as Excel or Access. In this method the handheld computer prompts the operator for data, giving instructions at each step. The data can then be hotsynced (uploaded) to a desktop computer, directly into a database.

    To use the Tree Inventory Form you need a Handheld computer or Personal Digital Assistant (PDA) using the Palm OS platform with 2 MB of memory and Pendragon Forms software. After you have installed the Pendragon Forms software onto your PC, continue with this download.

    Step I: Download the Tree Inventory Package.

    At the File Download window, click Save. The download package has been compressed with WinZip. You will need WinZip software to open the Inventory package. After the download is complete, you can click Open and then Extract. In the Extract window, select a folder where you can find the files again - you will need them latter. Click Extract and the compressed files will be added to your folder.

    The Tree inventory form includes information that can be plugged into UFORE (Urban Forest Effects) modeling program. Information gained from this model gives quantitative values to the urban forest such as value, oxygen generated, pollution absorbed, etc. To check on availability of submitting data to the UFORE team, go to the USDA Forest Service Urban Forest Effects site.

    Step II: Import the Tree Inventory Form Design

    1. On your computer click Start...Programs...Pendragon Forms...Pendragon Forms Manager 2000. (If you have Microsoft Access 97 the program is called Pendragon Forms Manager.)
    2. Click the Import button in the Pendragon Forms Manager window.



    3. Then click the Import...button at the bottom of the Select Import Source window. An Import Data window appears. Pendragon Forms Design files (*.PFF) will be displayed by default.



    4. Select the directory where the form to be imported is stored.
    5. Select Tree inventory.PFF and click the Open button. The selected form will be imported into your Form Designs List in the Pendragon Forms Manager.



    Step III: Create a Lookup List for street names.

    1. Open Microsoft Excel and enter the names of streets under the A column.
    2. When you are finished entering the street names, click on File, then on Save as...
    3. At the top of the Save as window, select the folder containing your other Lookup lists. In the File name box type Street names. In the Save as type box scroll down and select CSV (comma delimited). Click Save.

    Step IV: Import the Lookup Lists

    1. In the Pendagon Forms Manager window click the Lookups button. The Lookup Editor window will appear.



    2. In the Lookup Editor window, click the + button to create a new Lookup List.



    3. In the Lookup Name field, type Direction to building. The name that you type here for the Lookup List must exactly match (case sensitive) the name of the Lookup List in the Lookup List field on the form.
    4. Click the Import Lookup button.
    5. Select the directory where the downloaded Lookup List is stored and select Direction to building.
    6. Click Open. Check the box by Store LookupValues in the lookup field, Make this lookup available on PalmPilot and Sort the list.
    7. Repeat steps 1 to 6 for each Lookup List - Distance to building, Percent dieback, Tree list and Street names. Except in step 6, DO NOT check the box by Store LookupValues in the lookup field for Tree list and Street names.

    Step V: Freeze the Form Design and distribute to your handheld.

    1. Before you can send a form to the handheld unit, you need to freeze the form design. In the Pendragon Forms Manager window, click on properties along the left margin.
    2. In the Form Properties window, under Data Persistence, check the keep a copy of the records on handheld box. Click on Advanced Properties... at the bottom of the window.



    3. In the Advanced Form Properties window choose the Synchronization tab. At the bottom of the Advanced Properties window change storage limit to 5000 (it relates to the size of records stored), then click OK to get back to the Form Properties window.



    4. Back in the Forms Property window click the Freeze Form design for distribution to handheld .... button. Click Yes in the Are you sure...? window. Click OK to get back to the Forms Properties menu.
    5. In the Pendragon Forms Manager window, click on Distribute. Perform a hotsync and the Tree Inventory form should be on your handheld.
